Pop up Fairs Kent Terms & Conditions

The policy of Pop up Fairs Kent is to choose a combination of high-quality gift items, fashion, jewellery and crafts as well as services and food items. Care is taken to ensure variety.

Stall holders are approved as their applications are received. Allocation of spaces at the venue is at the sole decision of Pop up Fairs Kent and the venue owner to ensure safety for stall holders and visitors.

Pop up Fairs Kent reserves the right to refuse any application promptly and without reason, returning the full fees received. We also reserve the right to ask stall holders to remove any of their items and make alteration to their display which is considered unsuitable.

Stall holders are expected to do their part by advertising the Pop up Fair. We will not be held responsible in any way for the footfall of our events or the sales of the stall holders on the day. We do our best promoting with flyers to local schools, homes, shops, local magazines, Kent Radio and social media (Instagram and Facebook). Also on the day we have two people outside getting customers into our events.

Booking procedure

Bookings are only accepted after a booking form has been received via the website and approved by Pop up Fairs Kent.

Not all applications will be successful, as we need to have a good mix and quality of goods for sale. Pop up Fairs Kent reserves the right to refuse applications without having to justify its decision.

Bookings will only become successful when Pop up Fairs Kent receives your booking form and payment.

Allocation of spaces at the venue is at the sole discretion of Pop up Fairs Kent.

Confirmation of your booking will be sent by email.

Should the fair become over-subscribed, applications will be placed on a waiting list and you will be informed in advance of the fair if a cancellation has been received.

Method of Payments

Payment should be made through PayPal or by BACS at the time of booking to secure your stall. All payments must be made in full.

If more than six booking are made you will receive a 5% discount.

Cancellations/Refunds

A full refund will only be made if notice of cancellation is given 30 days or more before the date of the fair.

Stall holders who do not cancel in advance as outlined above, or who do not show up for the event, will not receive any refund.

Processing Period

Any refunds will be processed within 30 days of the request.

Limited Liability

Pop up Fairs Kent understands that the success of its stall holders is of interest to its continued success and who will pursue appropriate promotional activities via social media and leaflets to achieve this. In addition Pop up Fairs Kent will take public liability insurance for its venues and requires that its stall holders do the same.

Every stall holder shall participate in the fair entirely at their own risk in every respect, and shall absolve Pop up Fairs Kent from responsibility for such risks, including personal injury, loss or damage to property: however, this injury, loss or damage may be caused whether by fire, theft, inclement weather, interruption of power, defect in the equipment and building or failure of subcontractors or agents to perform.

Pop up Fairs Kent cannot, however, be held responsible, and its stall holders absolve it from and responsibility, for loss of profits, for damage or theft of stall holder’s stock, interruption of power or services, or failure of press advertisement fully contracted to appear, inclement weather and failure of sub-contractors or agent to perform, which may result in loss to stall holders. Pop up Fairs Kent does not provide insurance cover for theft or damage to stall holder’s stock and recommends that their take adequate insurance against all risks. It is a condition of booking that stall holders absolve Pop up Fairs Kent from and responsibility for refunding fees paid by them except as specified under these conditions.

Pop up Fairs Kent reserve the right, at their discretion, to vary
–  the times of opening to visitors of the event
–  the times of build-up and break down of the event
–  the location of the site
–  the dates of the event

Pop up Fairs Kent will not be responsible to the stall holder if and to the extent that an event of force majeure prevents or restricts Pop up Fairs Kent from running the event or carrying out any of its obligations in that connection.

No refund will be made in respect of any day on which the event has started, and the stall holder should insure against any additional losses incurred by cancellation or abandonment.

Pop up Fairs Kent shall not be responsible to the stall holder if and to the extent that a special event of force majeure, such as the death of a senior member of the Royal Family, prevents or restricts it from running the event or carrying out any of its obligations in that connection.

Should a stall holder wish to cancel from the event, the stall holder must email Pop up Fairs Kent.

Indemnity clause

The stall holder indemnifies Pop up Fairs Kent against any and all loss, costs, expenses and liabilities caused by the stall holder’s breach of these conditions or by the negligence of the stall holder, its servants, agents or sub-contractors.

Use of stalls

When we have organised layout plans for our Events we will not tolerate stall holders asking to be moved, the layout is planned for a reason, any rude or disruptive behaviour you will be asked to leave and as long as we have offered you your pitch and you refuse it Jo refunds will be given because your not happy with where you are put. We endeavour to suit all our vendors.

Each stall holder undertakes to have their items on display in their allocated space, in good order and professional manner. We reserve the right to open the fair at the stated open times and keep open until closing time. Stall holders shall not obstruct the general view or hide the items of others and shall not be packed, covered or removed before the end of the fair without the permission of Pop up Fairs Kent.

No stall holder shall be packed, removed or dismantled prior to the closing of the fair without written permission from the organiser. To pack up and leave prior to closure of the fair can result in cancellation of other bookings with no refund.

Please note that all food stalls have to comply with Health and Hygiene standards laid down by relevant authorities.

Pop up Fairs Kent provides public liability insurance, but all stall holders are required to provide their own Public Liability Insurance. Stall holders are advised not to leave valuables unattended – Pop up Fairs Kent cannot be held responsible.

You may not bring Banners and other items to our Events without prior permission, you are booking either a 6ft or 12ft table space, You must speak to the organiser regarding bringing rails etc. If you just bring them on the day without prior permission, you will be asked to take them down.

You must please let the organiser know if you have any servere allergies before arriving at our venues.If you decide to tell us on the day unfortunately you will asked to leave and no refund will be issued. Our utmost concern is the safety of everybody.

Any rude or abusive behaviour will not be tolerated to our staff, if this happens you will be asked to kindly leave.

If we have to cancel an Event for any reason due to Weather, Bad Health, Staff shortages we will offer you a pitch at a different Event/Venue.

No sellotape, drawing pins, or fixings of any description are permitted, and no naked flames are permitted at any fair location.

Stall holders are responsible for clearing away rubbish from their own stands.

Use of Electrics  

Stall holders using electricity must provide their own power-breakers which comply to British Standards together with adequate extension cables for their needs. All electrical equipment needs to have electrical inspection certificate for any electrical apparatus in accordance with the latest edition of the IEE Regulation, which can be provide by any N.I.C.E.I.A. registered electrical contractor.

  • Electrical equipment used can draw power of up to 500 Watts. Please consult us if you require extra electricity.

Smoking Policy 

In the interest of Health and Safety we request there be NO SMOKING and NO VAPING inside any venue.

Data Protection

Please be aware that your information will be stored on our data base with your contact details, which we require in order to supply services to you. This information will not be shared to a third party without your consent.

Photos and Videos

Attendees of fairs understand they may be included in photos or videos of the event by Pop up Fairs Kent to use on their social media platforms. If you do not wish to be included in photos or videos you must inform us in advance of the event.

Pop up Fairs Kent is not responsible for photos or videos posted on social media by guests of the event.
